Using Conditional Registrations

The Conditional status is introduced in this version to provide an intermediate status between Pending and Approved. The administrator assigns a registration to have the Conditional status when he wants to download a pending registration to the local database and approve it while offline.

Previously, the pending list of registrations can be approved only on the server database, so it was not possible to approve registrations while not logged into the server. Thus, it was not possible for administrators to retrieve the pending registration information while offline at the tournament. If the competitor who was pending showed up to compete, the administrator would have to re-enter the registration details manually into the approved list.

Changing a pending registration to have the conditional status requires one Pay-As-You-Go credit, which is the same requirement for approving a pending registration. Once a registration is in the Conditional status, he can be approved at any time from the server or from the local database. Administrators would want to move pending registrations to the Conditional status only when he is sure that the competitor is likely to be approved later while offline.

Changing a Pending Registration to a Conditional Registration

When the administrator wants to change the status of a pending registration to approve, he must do the following:

  1. Log into the server on the web version or the full version. If logging in using the full version, access the Server tab.
  2. Click on the word Tournament on the left side to view the list of events.
  3. Select the tournament the list of tournaments on the right side.
  4. Click on the word Registrant module on the left side to display the list of registrations for the event on the right side.
  5. Select the “Pending” radio button at the top of the registration list. This will display all the pending registrations for this event.
  6. Click on the pending registration that you wish to change to the conditional status.
  7. Click on the “Conditional” button at the bottom of the pending list, and answer “Continue” when prompted to confirm the move.
  8. Select the “Conditional” radio button at the top to change the view from the Pending list to the Conditional list. You should see the registration that you just moved to the conditional status.

Approving the Conditional Registration on Server

You can approve the conditional registration from the Server database, just as you would approve a pending registration. To approve a conditional registration, select the registration from the conditional list, and then click on the Approve button of the conditional list. When you approve the conditional registration on the server database, the registration gets moved to the Approved list and the registrant receives the email confirmation for his registration.

Approving the Conditional Registration on Local Database

Once a registration is in the Conditional status, it gets downloaded to the local database whenever you synchronize or reload the tournament onto your computer. After being downloaded, the conditional registration is available to be approved while offline.

To approve the conditional registration on the local database:

  1. Access the “Registrations” tab on the full version.
  2. Select the “Conditional” radio button at the top of the registration list.
  3. Select the desired conditional registration.
  4. Click on the “Approve” button at the bottom of the current registration view to the right.
  5. Click the “Continue” button to confirm the move.

Once you move the conditional registration to the Approved list on the local database, the registration is available for being placed in brackets and the name is available for being published on the registration list.

There is no email confirmation sent to the registrant if the conditional registration is approved from the local database. The email confirmation is sent only when the conditional registration is approved on the server database.
